How to Use Equal Time to Track Speaking Time by Gender in Meetings

Achieving gender equity in meetings is essential for fostering an inclusive workplace. With Equal Time, you can easily monitor and analyze speaking time by gender during your virtual meetings. Follow these steps to get started:

Step 1: Start Your Free Trial

Begin by signing up for a free trial of Equal Time. This is your first step towards more balanced and inclusive meetings.

Step 2: Create Your Account

After signing up, you’ll receive an email with a link to create your account. Click on the link and follow the instructions to set up your account.

Step 3: Connect Your Calendar

Connect your Google Calendar or Outlook Calendar to allow Equal Time to access your meeting schedule. This step is crucial for enabling the Equal Time bot to join your scheduled meetings.

Step 4: Schedule Your Meetings

Use the Scheduled Meetings tab on the Equal Time dashboard to ensure that the Equal Time bot is set to join the meetings you want it to monitor.

Step 5: Conduct a Test Meeting

Before using Equal Time in an official meeting, hold a test meeting to familiarize yourself with how the bot functions and what to expect. Remember to invite at least 2 participants to the test meeting. The Equal Time bot will not join calls if there is only one participant on the calendar invitation.

Step 6: Hold Your Meetings

Proceed with your meetings as planned. The Equal Time bot will automatically join the call as a participant, and start analyzing the data in the background.

Optional: You can install the real-time Equal Time Zoom App, which allows you to see speaking time in real time during your calls. Please note, this is only available to be used if you are the host of the meeting.

Step 7: Check Your Email

After each meeting, you will receive an email summary that includes a detailed breakdown of speaking time by gender—categorized into man, woman, and nonbinary participants. You will also get a summary of the call, speaking time per participant, and more…

Step 8: Check your Web App Account (app.equaltime.io)

Login at app.equaltime.io . You will be able to go to your past meetings page and find the gendered break down in speaking time.

Troubleshooting FAQs

Issue: Misgendering in Reports

  • Solution: Encourage participants to include pronouns in their screen names on platforms like Zoom, Microsoft Teams, and Google Meet (e.g., Jane Doe (she/her)).

Issue: Missing Summary Email

  • Solution: If you don’t receive a summary email post-meeting, contact us at hello@equaltime.io. It’s possible you may have accidentally unsubscribed from our mailing list.

Issue: Wishing you had access to Equal Time data for your whole team, division, or organizaion.
