If you’ve ever left a meeting thinking, “I should have spoken up,” you’re not alone.

Whether it’s due to nerves, interruptions, or not knowing when to jump in, many professionals—especially women, people of color, and junior team members—struggle to find their voice in meetings. And when that happens consistently, it can impact everything from your influence at work to your chances of being promoted.

At Equal Time, we’re building tools to help teams become more inclusive by surfacing who speaks, who’s interrupted, and who gets heard in meetings. But we also know that change starts with confidence—and preparation.

That’s why we created this free Confidence Checklist to help you speak up more in your next meeting.

✅ The Free Confidence Checklist

1. Set a Small Speaking Goal

  • ✅ Pick one point or question you want to raise during the meeting.
  • ✅ Write it down ahead of time—just one sentence is enough.

Even saying one thing per meeting builds the habit. Success = participation, not perfection.

2. Prepare an Entry Phrase

  • ✅ Choose a phrase to confidently jump into the conversation, like:
    • “I’d like to add something here…”
    • “A thought came to mind based on what you just said…”
    • “Can I share a quick perspective?”

Having one in your back pocket reduces hesitation in the moment.

3. Know Your Allies

  • ✅ Before the meeting, identify someone you trust who can amplify or support your voice.
  • ✅ Consider sending them a quick Slack: “I’m planning to share an idea in today’s meeting—would love your backup if it needs a boost.”

Allies make a big difference when you’re building your voice.

4. Interrupt the Right Way (If You Need To)

  • ✅ Practice respectful entry lines to navigate interruptions:
    • “Can I jump in before we move on?”
    • “I want to make sure this point isn’t missed…”

It’s not rude to assert your voice—it’s part of participating fully.

5. Follow Up to Reinforce Your Voice

  • ✅ After the meeting, follow up on Slack or email with a comment or idea you shared.
  • ✅ If you didn’t get to speak, follow up anyway: “One thought I didn’t get to share during the meeting…”

Follow-up = visibility and influence, even after the meeting ends.

🙋 Why It Matters

Meetings aren’t just for decisions—they’re where visibility happens. When your voice is heard, people associate you with ideas, leadership, and initiative.

But here’s the thing: it’s not all on you.

Unequal participation patterns—like being interrupted more often or not being called on—are real, systemic issues. That’s why Equal Time exists. We use AI to track speaking time, interruptions, and inclusion patterns in your team’s meetings, so managers and leaders can ensure everyone gets a fair chance to be heard.

If your company isn’t already using Equal Time, consider sharing it with your manager or HR team. It’s one more way to create space for every voice—including yours.

Let’s Change How Meetings Work—Together

Everyone deserves to feel confident speaking up. With the right preparation—and a little support from tech and teammates—you can.

And if you ever want to know how much space you’re getting in the room?
Equal Time can show you.
